PST File Analyzer for Outlook Data Files

A PST grows quietly until Outlook slows to a crawl or warns that the 50 GB limit is near. Outlook itself says little about why. PST File Analyzer opens the file, counts every item and shows which folders, senders and attachments take the space, so the cleanup targets the real cause.

Why large PST files cause trouble

Older ANSI PSTs break at 2 GB and modern Unicode PSTs stop at 50 GB by default. Long before either limit, search and send slow down. The analyzer shows exactly what fills the file, which beats guessing with Outlook's folder properties.

Before scanning

PST File Analyzer Checks

Three steps for a clean scan and a report that stands up later.

Outlook

Close Outlook first

Outlook locks the PST while it runs. Close it, or analyse a copy, so the scan reads the full file without errors.

Evidence

Work on a copy for investigations

Copy the PST and record its hash before scanning. The original stays untouched and the copy can be shown to match it later.

Location

Find PST files on the PC

Outlook stores data files under Documents, Outlook Files by default. Older setups keep them in AppData, Local, Microsoft, Outlook.

Outlook data problems are covered in Restore OST file and Extract contacts from PST file.

Get the trial, point it at a real PST and study a week of reported data. Buy when the numbers prove useful.

Outlook Folder Size vs PST File Analyzer

Outlook can list folder sizes through Data File Properties at no cost. That covers one question. Attachments, senders, corruption and saved reports need more, as the rows below show.

Job Outlook Folder Size PST File Analyzer
Cost Built into Outlook $49 one time
Size of every folder Listed in properties In the overview too
Attachment report Not available Types, sizes and senders
Top senders No view Chart view
Orphan PST Needs an Outlook profile Opens without Outlook
Corruption check Separate ScanPST run Check Corrupt Files
Many PST files Attach one by one Batch in one session
Saved report Screenshots only PDF or HTML

Green rows mark where Outlook's folder view is enough.

To see which folder is biggest, Outlook's Folder Size window does the job. Pulling contacts out of a PST is covered in Extract contacts from PST file .
